Refund Policy
At Covalent Media, we provide customized creative and marketing services that require time, planning, resource allocation, and expert involvement. Because our work begins immediately after onboarding, we follow a transparent, no-nonsense refund policy to protect both our team and our clients.
By using our website, services, or making a payment, you agree to the terms outlined below.
1. General Refund Rule
All payments made to Covalent Media are non-refundable once work has started.
This includes payments for:
• Video production
• Social media management
• Paid ad campaigns
• Content creation
• Strategy & consulting services
• Monthly retainers
Our work involves dedicated team hours, planning, research, and third-party resources that cannot be reversed once initiated.
2. When a Refund Is Possible
A refund may be considered only in the following situations:
A. Payment made but project not started
If work has not yet begun, and you request cancellation within 48 hours of payment, we may issue a partial or full refund depending on expenses already committed.
B. Duplicate or accidental payments
If a client mistakenly pays twice for the same invoice or subscription, the extra amount will be refunded upon verification.
C. Failed or incomplete Razorpay transaction
If an amount is debited but Razorpay does not confirm the payment, the refund will be handled directly by Razorpay, as per their transaction policy.
3. When Refunds Are Not Allowed
Refunds will NOT be provided if:
• The project has already started
• Raw footage has been shot
• Editing, scripting, planning, or design work has begun
• Services were delayed due to the client’s slow response or lack of inputs
• The client changes their mind, brand direction, or marketing strategy
• Expected results from ads or content do not match subjective expectations (because performance depends on multiple external factors)
• The client fails to provide necessary assets (logos, scripts, approvals, etc.)
4. Subscription & Monthly Retainer Refunds
For monthly recurring services:
• Once the billing cycle starts, no refunds are issued
• Unused deliverables in a month cannot be carried forward or refunded
• Cancellation will apply from the next billing cycle only
5. Partial Refunds (Rare Cases)
Partial refunds may be considered only if:
• There is a proven service failure from our end
• No deliverables were provided due to internal errors
• The project was accepted but technically impossible to execute
Partial refunds will be issued strictly at our discretion after reviewing the case.
6. Processing Time
Approved refunds (if any) will be processed within:
• 7–10 business days through Razorpay or original payment method
• Processing delays caused by banks or Razorpay are outside our control
7. Chargebacks & Disputes
If a client initiates a chargeback:
• Ongoing work will be paused immediately
• Legal and billing teams will intervene
• Evidence of deliverables, communication, and terms will be submitted to the payment gateway
Fraudulent chargebacks may result in:
• Service termination
• Legal action
• Additional administrative fees
